Privacy Policy

This policy explains how V2 Tax Solutions ("V2", "we") handles personal information in connection with this website. If you have questions, email [email protected].

The short version

  • The only form on this website is our secure tax intake. What you enter there goes straight to V2's Google Workspace to prepare your tax return. It is not stored on this website.
  • Please don't send your SIN or tax documents by email or WhatsApp. The tax intake is the only channel for them.
  • We don't sell your information, and we don't use advertising or analytics tracking on this website.

Contacting us by phone, email or WhatsApp

To book a consultation or ask a question, you contact us directly by phone, email or WhatsApp. We use what you share to respond and to arrange and provide the services you ask for. Email is handled in V2's Google Workspace account. WhatsApp messages are also subject to WhatsApp's privacy policy.

These channels are not meant for sensitive documents. Please don't send your SIN, banking details or tax documents this way. Use the tax intake form instead.

Booking a video call

The "Book a video call" link on our Contact page opens a booking page provided by Google Calendar, and the call itself takes place on Google Meet. Google processes the name, email address and any other details you enter when you book, under Google's privacy policy. V2 receives the booking in its Google Workspace calendar and uses it to hold the call with you. This website does not collect those details.

The tax intake form

What we collect. When you use the tax intake form, we collect:

  • your name, Social Insurance Number, date of birth, address, phone number, email address, status in Canada, gender and marital status;
  • the same identifying details for your spouse or common-law partner and your children, where you provide them;
  • your answers about your tax situation, deductions and credits;
  • the documents you upload (for example ID, tax slips and receipts).

Why. We use this information only to identify you, prepare and file your tax return, and provide the tax and accounting services you ask for. We ask you to confirm your consent before you submit.

Where it is stored. Your answers and documents go directly from your browser to V2's Google Workspace account (Google Drive), in a restricted shared drive. They are not stored on this website or by our website host. Google may store and process this data on servers outside Canada, including in the United States, where it may be subject to the laws of that country. See Google's privacy policy. The security check on the form (which confirms you are not an automated bot) is provided by Cloudflare. Address suggestions on the form are provided by Google Maps: as you type an address, the text you type is sent to Google to suggest matching addresses, under Google's privacy policy.

Who can see it. Only V2 staff who work on your file, and the people who administer V2's Google Workspace, can access your information. We don't sell it or share it with anyone else, except where we must (for example when filing with the Canada Revenue Agency) or where the law requires.

How long we keep it. We keep your intake and documents for as long as we provide services to you and as long as tax law requires. Signed authorization forms (T183) are kept for at least six years.

Hosting and technical data

This website is hosted by Cloudflare. Like most websites, the hosting provider may process technical information such as IP addresses and request logs to deliver the site securely and protect it from abuse. The tax intake form's answers pass through Cloudflare on their way to V2's Google Workspace but are not stored there; your uploaded documents go directly to Google. See Cloudflare's privacy policy. The website itself sets no cookies.

How long we keep information

We keep the information you send us only as long as needed to respond to you and provide our services, or as required by law.

Your choices and our privacy contact

You can ask to access, correct or delete the personal information you've shared with us, or ask a question about privacy, by contacting our privacy contact at [email protected] or 639-318-6125. We handle personal information in keeping with applicable Canadian privacy law, including PIPEDA. Some records must be kept for the periods tax law requires, even if you ask us to delete them.

Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it last changed.
